Samples are the single most important step in the China sourcing process. They are your opportunity to verify quality, confirm specifications, and build confidence in a supplier before committing to a large order. Skipping or rushing this step is one of the most common and costly mistakes I have seen buyers make.

In my role at Hydrofarm, I managed sampling for dozens of new product lines each quarter. I quickly learned that a thorough sample evaluation process was the single biggest factor separating successful product launches from costly failures. A sample that looks good in photos can reveal serious flaws in material quality, fit, or finish once you examine it in person.

Why Samples Matter

A product listing on Alibaba or a catalog from a trade show can look impressive. But until you hold the actual product in your hands, you do not really know what you are getting. Samples reveal details that photos cannot show. The weight of the material, the quality of the finish, the fit and feel of components, the accuracy of colors. These details make the difference between a product your customers will love and one that generates returns and complaints.

Types of Samples

There are generally three types of samples you will encounter when sourcing from China.

Stock samples are existing products that the supplier already has in production. They are usually available immediately and cost only the shipping. These are useful for evaluating a supplier’s general quality level but may not match your exact specifications.

Custom samples are produced specifically to your requirements. The supplier adjusts materials, dimensions, colors, or packaging to match your specifications. These take longer to produce, typically one to three weeks, and usually involve a sample fee.

Pre-production samples are made from the actual production materials and tooling before the bulk order runs. These are the most accurate representation of what your final order will look like.

How to Request Samples Effectively

When requesting samples, be specific about what you need. Provide clear specifications, reference images, and any relevant standards or certifications. Tell the supplier what you will be evaluating so they know what to focus on.

Ask these questions before ordering samples:

· 1. Is this sample identical to what the bulk production will be?

· 2. What is the sample cost and is it refundable with a bulk order?

· 3. How long will sample production take?

· 4. Can you make adjustments if needed?

When your samples arrive, do a thorough evaluation. Check dimensions against your specifications. Test functionality. Compare colors against approved references. Assess packaging quality. Take photos and notes for your records.

If the sample does not meet your expectations, communicate clearly what needs to change. A good supplier will work with you to make adjustments. If a supplier is unwilling to make reasonable changes on a sample order, that is a red flag for how they will handle production orders.

Sample Costs and Refund Policies

Most suppliers charge for custom samples. This is reasonable because they are using materials and labor to produce something specifically for you. Many suppliers will refund the sample cost if you place a bulk order, typically above a certain threshold.

When to Move to Bulk Production

It becomes the benchmark for quality comparison during production inspections.

Final Thoughts

Investing time and money in proper sampling saves far more than it costs. A two-hundred-dollar sample fee is insignificant compared to a twenty-thousand-dollar shipment of products that do not meet your standards. Treat sampling as an essential part of your sourcing process, not an optional extra.
